Hosting email limits: mailbox storage, sending caps and deliverability are separate
Hosting email limits include more than mailbox count: total account quota, per-mailbox storage, message size, sending rate or anti-abuse policy, attachment overhead, spam/virus scanning, IMAP concurrency, and reputation controls can all shape mailbox behavior.
Read plan/account quota before mailbox count
A plan may allow several mailboxes while all website/database/mail data shares one storage quota. Estimate retained mail volume and attachments per mailbox so total usage is understood.
Deleted mail can remain in Trash/Junk folders until clients or server retention purge it.
Understand message-size overhead
Email attachments are encoded and can consume more transmitted/stored bytes than the source file. Sender, receiver, and intermediate systems can have different message-size ceilings.
Use file-sharing or another workflow for very large files; continually increasing mail limits is not a durable fix.
Respect outbound abuse/reputation controls
Shared hosting mail is intended for site/business mailbox use within policy, not bulk marketing infrastructure. Sudden high volume, compromised scripts, or mailing-list behavior can trigger rate/reputation issues.
Use authenticated submission and keep SPF/DKIM/DMARC aligned for legitimate domain mail.
Archive or upgrade based on measured use
Track mailbox/account storage growth and clean retention intentionally. If mail is mission-critical or unusually large/complex, evaluate a dedicated mail service when web-hosting mail no longer fits the workload. Test an IMAP client and a real external send/receive path after quota or retention changes so a storage cleanup does not silently break normal mailbox use.

- Follow anti-abuse sending policy.
- Monitor mailbox growth.
