cPanel email setup: what you need before adding a device

Most cPanel email setup problems come from mixing the mailbox identity with the wrong server name, port, password, or encryption method. Gather the account’s actual connection settings before letting an email client guess.

Create and verify the mailbox first

Confirm the full email address, mailbox quota, password, and that webmail login works. If webmail cannot authenticate, changing Outlook or phone settings will not fix the underlying account.

Choose IMAP or POP intentionally

IMAP keeps server folders synchronized across devices and is the normal choice for people using more than one device. POP downloads mail according to client settings and can create confusing multi-device behaviour if chosen accidentally.

Use the provider’s exact incoming and outgoing settings

Record the mail hostname, IMAP or POP port, SMTP port, TLS requirements, and whether SMTP authentication uses the full email address. Do not assume the website hostname is also the correct mail hostname.

If sending fails but receiving works, troubleshoot SMTP separately

A correct IMAP login proves the mailbox exists but not that outbound submission is configured. Check SMTP authentication, port, TLS, sending restrictions, and the exact error from the client.
